Access combines three things: <strong>roles<\/strong> define what a user may do, <strong>user groups<\/strong> apply roles and access to several users at once, and <strong>workspaces<\/strong> scope which documents a user sees. User Management is opened from <strong>Nastavenia<\/strong>.<\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Pou\u017e\u00edvatelia<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>Pou\u017e\u00edvatelia<\/strong> section manages the individual people in the account. Each user is invited by email and given roles, user groups, and workspaces that set what they can do and see.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Inviting a user<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Invite a user with <strong>Invite<\/strong>. The invitation sets the user&#8217;s access in steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Enter the <strong>email address<\/strong>, and select <strong>user groups<\/strong> and <strong>roles<\/strong>.<\/li>\n\n\n\n<li>Optionally, select the <strong>workspaces<\/strong>, projects, and partners the user can access.<\/li>\n\n\n\n<li>Review and send the invitation.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">The invited user accepts or rejects access to the account. Until they accept, they appear with an invited status.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">The user list<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The Users tab lists everyone in the account with their <strong>email<\/strong>, <strong>name<\/strong>, <strong>roles<\/strong>, assigned <strong>workspaces<\/strong>, <strong>groups<\/strong>, and <strong>status<\/strong> (for example, Active or Inactive).<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Managing users<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Each user can be viewed, edited, or deleted. Editing a user changes their roles, user groups, and workspaces, which changes their permissions and access across the account.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Users tab with the list and the Invite dialog)<\/em><\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">User Groups<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">User groups organize users into teams or departments, so permissions and access are managed for many people at once instead of one by one.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A group holds:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Pou\u017e\u00edvatelia<\/strong> \u2014 the members of the group, who take on the group&#8217;s access.<\/li>\n\n\n\n<li><strong>Roles<\/strong> \u2014 the permissions granted to the group.<\/li>\n\n\n\n<li><strong>Workspaces<\/strong> \u2014 the workspaces the group can reach.<\/li>\n\n\n\n<li><strong>Subgroups<\/strong> \u2014 other groups nested inside this group, for a layered structure.<\/li>\n\n\n\n<li><strong>Optional Settings<\/strong> \u2014 custom permission filters that refine field-level access with a predicate.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Groups tab and the Add Group dialog)<\/em><\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Roles<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Roles are a fixed list. They are assigned to users and groups, and the Roles tab is an informational listing \u2014 each role with its description and the users and groups that hold it. Most roles follow a <strong>Contributor<\/strong> and <strong>Reader<\/strong> pattern: a Contributor creates and edits within an area, a Reader only views it. A role can include other roles, inheriting their permissions.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<figure class=\"wp-block-table is-style-stripes\"><table><thead><tr><th>Role<\/th><th>What it allows<\/th><\/tr><\/thead><tbody><tr><td>Administrator<\/td><td>Everything. Access to every module and feature in the account, including account information.<\/td><\/tr><tr><td>Security.Administrator<\/td><td>Full access to Workspaces and User Management. At least one user must always hold this role.<\/td><\/tr><tr><td>Accounting.Manager<\/td><td>Full access to Accounting, plus read access to documents and master data.<\/td><\/tr><tr><td>Document.Contributor<\/td><td>Create and edit documents: Create New Document, Document Editor, Documents, Upload Document, Dashboard, and the Bin (excluding permanent delete). Includes read access to master data.<\/td><\/tr><tr><td>Document.Reader<\/td><td>View documents only. Home (excluding Invitations) and Dashboard (excluding New Document, Upload Document, and Export). Drafts appear in the list but not in the Document Editor.<\/td><\/tr><tr><td>MasterData.BusinessPartner.Contributor<\/td><td>Create and edit business partners, send registration links, and manage Home Invitations.<\/td><\/tr><tr><td>MasterData.BusinessPartner.Reader<\/td><td>View business partners only.<\/td><\/tr><tr><td>MasterData.Item.Contributor<\/td><td>Create and edit Items in Master Data.<\/td><\/tr><tr><td>MasterData.Item.Reader<\/td><td>View Items only.<\/td><\/tr><tr><td>MasterData.Project.Contributor<\/td><td>Create and edit Projects in Master Data.<\/td><\/tr><tr><td>MasterData.Project.Reader<\/td><td>View Projects only.<\/td><\/tr><tr><td>Template.Administrator<\/td><td>Full access to Templates.<\/td><\/tr><tr><td>User<\/td><td>The base role. My Reminders, Reminders, personal notification settings, and Leave Feedback. The list of roles is fixed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Roles tab listing each role with its users and groups)<\/em><\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Workspaces<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A workspace is an access boundary inside the account: users and groups assigned to a workspace see the documents assigned to it. Workspaces let each team work with only its own documents, and they are shared with partners when a business card is accepted. Creating and managing workspaces is covered on the Workspaces page.<\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Reporting Access<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Editing a user, group, or role changes access across the account.
