In this help doc: what a template is, how to find one in the Library, how to import, activate, and edit one, and what document type, subtype, and value type mean.<\/p>\n\n\n\n

A template is a reusable document layout. It defines the structure and fixed content of a document, and marks where account, partner, and line-item data is filled in automatically. Open Vorlagen<\/strong> from the sidebar to work with them.<\/p>\n\n\n\n

What a Template Is<\/h2>\n\n\n\n

A template is the starting point for every document. Instead of building a document from scratch each time, a template holds the layout, the wording, and the field placeholders once, and each new document made from it pulls the current data \u2014 company details, partner details, line items, totals \u2014 into place. This keeps documents consistent and removes repeated typing.<\/p>\n\n\n\n

A template can come from the ViaSpaces Library<\/strong> (a shared catalog), be imported<\/strong> by ID, or be built from scratch in the Template Builder. Building your own template is covered on the Advanced topics page.<\/p>\n\n\n\n

The Templates Page<\/h2>\n\n\n\n

The Templates page lists the templates available to the account. Each row is a template, grouped by its versions, and shows the Document Type<\/strong>, Document Subtype<\/strong> and Template Name<\/strong>, Jurisdiction<\/strong> and Sprache<\/strong>, whether it is Assigned<\/strong>, its Workspace<\/strong>, and its Template Group<\/strong>.<\/p>\n\n\n\n

Search<\/strong> finds a template by name. The filters narrow the list by Solution<\/strong>, Jurisdiction<\/strong>, Sprache<\/strong>, Document Type<\/strong>, Document Subtype<\/strong>, and Assigned \/ Unassigned<\/strong>.<\/p>\n\n\n\n

Three buttons add templates:<\/p>\n\n\n\n

  • ViaSpaces Library<\/strong> \u2014 opens the shared catalog to import from.<\/li>\n\n\n\n
  • Import Template<\/strong> \u2014 imports a template by its ID.<\/li>\n\n\n\n
  • Create New<\/strong> \u2014 opens the Template Builder to build a template from scratch. See the Advanced topics page.<\/li>\n<\/ul>\n\n\n\n

    The Template Library<\/h2>\n\n\n\n

    The ViaSpaces Library<\/strong> is a shared catalog of ready-made templates. It is filtered by the same fields as the Templates page \u2014 Solution, Jurisdiction, Language, Document Type, Document Subtype \u2014 so a template can be found for a specific purpose and country.<\/p>\n\n\n\n

    Each row has a Template Details<\/strong> view and an Import<\/strong> button. Template Details shows the Template Name<\/strong>, Template Author<\/strong>, Jurisdiction<\/strong>, Document Title<\/strong>, and the Template ID<\/strong>, which can be copied to import the template elsewhere.<\/p>\n\n\n\n

    Importing a Template<\/h2>\n\n\n\n

    A template is imported in two ways:<\/p>\n\n\n\n

      \n
    • From the Library<\/strong>, click Import<\/strong> on a row.<\/li>\n\n\n\n
    • From the Templates page, click Import Template<\/strong>, paste the Template ID<\/strong>, and click Submit<\/strong>.<\/li>\n<\/ul>\n\n\n\n

      The imported template appears in the Templates list, ready to activate.<\/p>\n\n\n\n

      Template Versions and Activation<\/h2>\n\n\n\n

      A template can hold several versions<\/strong>. One version is active at a time, and the active version is the one used when a document is created. A template with no active version is marked No Active Version<\/strong> and cannot be used until a version is activated.<\/p>\n\n\n\n

      Each version row has actions:<\/p>\n\n\n\n

      Action<\/th>Function<\/th><\/tr><\/thead>
      Make Active<\/td>Sets the version as the one used for new documents.<\/td><\/tr>
      Preview<\/td>Opens a PDF preview of the template.<\/td><\/tr>
      Duplicate<\/td>Creates a copy of the version to work from.<\/td><\/tr>
      Delete<\/td>Removes the version.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n

      The list also shows the version’s status<\/strong> \u2014 for example, “Active (Invoice – Moon)” or “No Active Version”.<\/p>\n\n\n\n

      Note: <\/strong>Versions let a template change over time without losing earlier layouts. An older version stays available to activate again.<\/p>\n<\/div>\n\n\n\n

      Assigning a Template to a Workspace<\/h2>\n\n\n\n

      The Add to Workspace<\/strong> column assigns a template to a workspace. A workspace is an access boundary inside the account: users and groups assigned to a workspace see the documents and templates assigned to it. Assigning a template to a workspace makes it available to that workspace’s members, so each team works with its own set of templates. Full workspace setup is covered on the Workspaces page.<\/p>\n\n\n\n

      The Template Group<\/strong> column groups related templates under a shared name, which keeps versions of the same document organized in the list.<\/p>\n\n\n\n

      Editing a Template<\/h2>\n\n\n\n

      An existing template opens in the Template Builder for layout changes, and its descriptive data is edited in the Template Meta Data<\/strong> window.<\/p>\n\n\n\n

      The Template Meta Data window holds:<\/p>\n\n\n\n

        \n
      • Version<\/strong> \u2014 the version number.<\/li>\n\n\n\n
      • Document Title<\/strong> \u2014 the title shown on the document.<\/li>\n\n\n\n
      • Template Name<\/strong> \u2014 the name in the Templates list.<\/li>\n\n\n\n
      • Parent Id<\/strong> \u2014 the template this version derives from.<\/li>\n\n\n\n
      • Document Type<\/strong> and Document Subtype<\/strong> \u2014 the document’s classification.<\/li>\n\n\n\n
      • Value Type<\/strong> \u2014 see below.<\/li>\n\n\n\n
      • Sprache<\/strong> and Jurisdiction<\/strong> \u2014 the template’s language and legal region.<\/li>\n\n\n\n
      • URL Link<\/strong>, Description<\/strong>, Instructions<\/strong>, Additional Info<\/strong> \u2014 descriptive fields.<\/li>\n\n\n\n
      • Solution<\/strong> \u2014 the solution the template belongs to.<\/li>\n<\/ul>\n\n\n\n

        Confirm<\/strong> saves the metadata. Saved values appear in the Templates list and in Template Details.<\/p>\n\n\n\n

        Document Type, Subtype and Value Type<\/h2>\n\n\n\n

        Every template is classified so documents made from it are grouped, filtered, and numbered correctly.<\/p>\n\n\n\n

        Document Type<\/strong> is the top-level category of the document \u2014 for example, “500 – Billing and Invoicing” or “300 – Service Agreements”. Document Subtype<\/strong> refines it further \u2014 for example, “Fakt\u00fara” or “Invoice with Items”. Type and subtype drive the Templates and Library filters and the numbering set in Settings, Document Controls<\/strong>.<\/p>\n\n\n\n

        Value Type<\/strong> is a field in Template Meta Data.<\/p>\n\n\n\n
