Open <strong>Business Partners<\/strong> from the sidebar to see the partners for the current account.<\/p>\n\n\n\n<div style=\"height:60px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">What a Business Partner Is<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A business partner is any counterparty an account works with \u2014 a customer, supplier, or other organization involved in a document exchange. The partner record keeps their address, tax details, and contacts in one place, so this data fills in automatically on every document sent to them. There are two kinds.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A <strong>business partner<\/strong> is a counterparty that also has a ViaSpaces account. Both sides are connected on the platform, and documents pass directly between the two accounts \u2014 useful for regular partners who work in ViaSpaces, where every exchange stays tracked on both sides.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An <strong>external business partner<\/strong> is a counterparty without a ViaSpaces account. It is created manually and marked <strong>(External)<\/strong>. Documents reach it through the External Gateway \u2014 a secure link sent by e-mail \u2014 so a partner can receive, approve, or sign without registering. This covers the common case of a client or supplier who is not on the platform.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Each partner is also set to a <strong>Business Partner Type<\/strong>: <strong>Business (Company)<\/strong> or <strong>Individual (Person)<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Business Partners list with Company Name, Primary Contact, Country, and Connection Status columns)<\/em><\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">The Business Partners List<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The list shows the partners for the current account, with <strong>Company Name<\/strong>, <strong>Primary Contact<\/strong>, <strong>Country<\/strong>, and <strong>Connection Status<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Search<\/strong> finds a partner in the list. <strong>Contacts<\/strong> searches across all business partner contacts, which helps when the company name is uncertain but the contact person is known. <strong>Add from Business Cards<\/strong> adds a partner from a received business card, and <strong>Add New<\/strong> opens the dialog to add a partner. Each row can be edited or deleted.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Adding a Business Partner<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Add New<\/strong> opens three ways to add a partner, each for a different situation:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>Search<\/strong> \u2014 finds an existing partner already on ViaSpaces. Their details are pulled from their account, so no data is retyped.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>Create Manually<\/strong> \u2014 creates an external partner, with details entered by hand. Later changes they make to their own data do not update the copy automatically, and there is currently no notification of such a change. Review a partner&#8217;s details when accuracy matters.<\/p>\n<\/div>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Add Business Partner dialog with Create Manually, Invite, and Search)<\/em><\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Create Manually<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Create Manually opens the Create Business Partner form and produces an external partner.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The general details are the <strong>External e-mail(s)<\/strong>, the <strong>Business Partner Type<\/strong> (Business or Individual), a <strong>Nickname<\/strong>, the <strong>Country<\/strong>, the <strong>Company Name<\/strong>, and an <strong>Active<\/strong> switch. The <strong>Address<\/strong> section holds Street 1, Street 2, City, Zip Code, State \/ Province \/ Region \/ Canton, and Country. Under <strong>Tax &amp; Registrations<\/strong> are the <strong>Company Registration Number<\/strong> (for example EIN or CRN) and the <strong>Tax Registration \/ ID<\/strong>. The <strong>Primary Contact<\/strong> holds Title, First Name, Middle Name, Last Name, E-mail, and Phone No.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Business Partner Tags<\/strong> are labels added with <strong>Add<\/strong>. Tags group partners by any scheme that fits the business \u2014 region, industry, or account manager \u2014 and make them easy to filter later. Save with <strong>Save<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Create Business Partner form with External e-mail, Business Partner Type, and address fields)<\/em><\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Business Partner Detail<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An existing partner opens in Business Partner Detail, with the <strong>Status<\/strong> shown in the top-right corner. The detail is organized into tabs:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>General<\/strong> \u2014 e-mail, type, Company Name, Nickname, Active, address, Tax &amp; Registrations, and tags.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>Tax Registration<\/strong> \u2014 tax registrations by Country, Tax Type, and Identification Number. Add one with <strong>Add Tax Type<\/strong>. Used for partners that trade under more than one tax registration.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>Locations<\/strong> \u2014 additional addresses, for a partner with several branches or delivery sites.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>Contacts<\/strong> \u2014 contact people for the partner.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">&#8211; <strong>External Gateway Settings<\/strong> \u2014 security and delivery settings for an external partner.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: Business Partner Detail with the General, Tax Registration, Locations, Contacts, and External Gateway Settings tabs)<\/em><\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">External Gateway Settings<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">For an external partner, the <strong>External Gateway Settings<\/strong> tab controls how the partner receives and acts on documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Use PIN \/ Password<\/strong> protects gateway access, adding a layer of security when documents are sensitive; the PIN is either generated automatically or set as a custom PIN or password. <strong>Disable notifications for this Business Partner<\/strong> stops notifications to the partner. <strong>Attach PDF by Default<\/strong> attaches the document PDF to notification e-mails, so the partner has the document on hand without opening the link.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<div class=\"wp-block-group has-background is-nowrap is-layout-flex wp-container-core-group-is-layout-7d63a462 wp-block-group-is-layout-flex\" style=\"border-radius:6px;border-left-color:#ebf0f8;border-left-style:solid;border-left-width:4px;background-color:#ebf0f8;padding-top:16px;padding-right:20px;padding-bottom:16px;padding-left:20px\">\n<figure class=\"wp-block-image size-full is-resized wp-container-content-56bd633c\"><img decoding=\"async\" width=\"24\" height=\"24\" src=\"https:\/\/viaspaces.com\/wp-content\/uploads\/2024\/01\/file-list-line.svg\" alt=\"\" class=\"wp-image-158\" style=\"aspect-ratio:1;object-fit:cover;object-position:50% 50%;width:32px;height:auto\"\/><\/figure>\n\n\n\n<p class=\"wp-container-content-885d38d7 wp-block-paragraph\"><strong>Note:<\/strong> The External Gateway is how partners without an account view, approve, reject, or sign documents. See the External Gateway page for the full flow.<\/p>\n<\/div>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(screenshot: External Gateway Settings tab with Use PIN \/ Password, Disable notifications, and Attach PDF by Default)<\/em><\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Autofill for Company Partners<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When creating a <strong>Business (Company)<\/strong> partner registered in Switzerland, Czechia, or Slovakia, entering the Company ID fills the company details from the official registry. This saves retyping and keeps a partner&#8217;s registered name and address exact. Autofill runs while creating a partner. It does not apply to an existing partner, whose details come from their own account.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Connection Status<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Every partner has a connection status, shown in the list and on the detail page.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<figure class=\"wp-block-table is-style-stripes\"><table><thead><tr><th>Status<\/th><th>Meaning<\/th><\/tr><\/thead><tbody><tr><td>Pending<\/td><td>An invitation is sent and not yet answered.<\/td><\/tr><tr><td>Active<\/td><td>The connection is live. Documents can be exchanged.<\/td><\/tr><tr><td>Inactive<\/td><td>The connection is paused.<\/td><\/tr><tr><td>Blacklisted<\/td><td>The connection is declined and blocked.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">Documents can be sent only to a partner whose status is <strong>Active<\/strong>. Reactivation goes through Pending for re-approval by both sides.<\/p>\n<\/div>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Business Cards<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A business card is a digital company profile used to connect two platform accounts \u2014 the platform equivalent of handing over a company card at a meeting. It carries the sender&#8217;s details so the recipient can add them as a partner in one step, with no manual entry.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Business cards exist above accounts, at the My Accounts level: one received card can be added as a partner into more than one account, the way a paper business card can be filed in several places.
